Employee transport management system (ETS)

An employee transport management system is software that plans, allocates, tracks and bills an organisation’s employee commute. It takes shift rosters as input, generates vehicle routes, assigns them across transport vendors, tracks trips live, enforces safety rules and reconciles vendor invoices against the agreed rate card.
In practice
- Rosters arrive from an HR system or are uploaded per shift, and define who needs transport when
- Employees are clustered by pickup density, then routed against the road network
- Routes are allocated to vendors by coverage, rate card and compliance status
- Trips are tracked by GPS against the planned route, with escort rules applied at allocation
- Completed trips reconcile against the rate card to produce or verify the vendor invoice
Why it matters
Without one, the same work happens across spreadsheets, WhatsApp groups and vendor portals, and nobody can answer what a programme costs per employee or prove that a safety rule was applied to a particular trip.
